Leave Policies and Forms

Leave for SHRA and EHRA Non-faculty is administered by the Division of Human Resources. Leave is granted to eligible full-time, part-time, and time-limited employees. Your leave balances can be found on the Aggie Access Online. 1. Bereavement Leave Policy
In November, the Office of State Human Resources established a new bereavement leave policy via the Governor's Executive Order No. 325. The UNC System Office has opted to include all UNC System campuses in the policy. Employees will be eligible for up to 40 hours of paid leave following the loss of an immediate family member, including a spouse, child, sibling, parent, or grandparent. Step, half, and in-law family members are included as well as any dependent living in the employee’s home. The bereavement leave covers the loss of a loved one for any reason and is retroactive to September 27, 2024, due to Hurricane Helene. Any eligible employee who suffered a loss after September 27, whether due to the storm or other causes, will have access to the leave. A set of Frequently Asked Questions has been created to provide additional information. Eligible employees have up to six months after the death to take bereavement leave.  Our university-specific policy, guidelines, and internal processes will be developed over the coming weeks, with a required implementation deadline of March 1, 2025.
 
2. University Policy 161, EHRA Non-Faculty Employees
In January 2024, changes to the UNC System personnel policies included new terms and conditions for Exempt Professional Staff (EPS). The new Policy on Employees Exempt from the North Carolina Human Resources Act (Policy 300.1.1) includes Section 3B: Separation from Employment (pg. 6),which describes the differences between employees discontinued who were hired on or before July 1, 2024, and those who were hired on or after July 1, 2024.
 
For Employees Hired Prior To July 1, 2024  

The chancellor or the president (or their designee) may provide the employee with a combination of notice and separation pay that totals the respective required number of days. The determination of whether the employee shall receive notice of discontinuation of the appointment, receive separation pay in lieu of notice, or a combination of the two shall be in the sole discretion of the respective chancellor or the president (or their designee).  

a. During the first year of service, not less than a thirty (30) calendar day notice prior to discontinuation of employment or a lump sum separation payment equivalent to thirty (30) calendar days of pay;

b. During the second and third years of service, not less than a sixty (60) calendar day notice prior to discontinuation of employment or a separation payment equivalent to sixty (60) calendar days of pay; and

c. During the fourth and all subsequent years of continuous service, not less than a ninety (90) calendar day notice prior to discontinuation of employment or a separation payment equivalent to ninety (90) calendar days of pay."
 
For Employees Hired On or After July, 1, 2024. 

The chancellor or the president (or their designee) shall provide advance timely notice of discontinuation at least thirty (30) calendar days prior to the date of discontinuation. In addition to the thirty (30) days’ notice provided above, the chancellor or the president (or designee) may offer the employee a lump sum separation payment which shall be in exchange for an executed release of any and all claims, to the extent permitted by law, against the University through the date of discontinuation. Such a lump sum separation payment for an employee shall not exceed sixty (60) calendar days of pay and may be limited by policies adopted by the constituent institution, such as defined separation payment amounts based on years of service. An offer of a separation payment is not a right of choice for the employee, but rather an option exercised in the sole discretion of the respective chancellor or president (or designee).

  • Vacation Leave: Full-time EHRA (non-teaching) are granted 2 days(16 hours) per month, which totals 192 vacation hours per year. Vacation accrual rate will reduce to 8 hours per month for an EHRA employee who separates from the University prior to completion of 24 months of service. Payouts will calculate based on the new rate.
  • Sick Leave: EHRA and SHRA full-time employees earns sick leave at the rate of eight (8) hours per month. Part-time employees earn leave on a prorated basis according to the number of scheduled work hours each week. All vacation leave (hours and minutes) above the maximum carry-over amount of 240 hours is automatically converted to sick leave effective January 1, if employment status is maintained through at least December 31.

  • Sick Leave: EHRA and SHRA full-time employees earns sick leave at the rate of eight (8) hours per month. Part-time employees earn leave on a prorated basis according to the number of scheduled work hours each week. All vacation leave (hours and minutes) above the maximum carry-over amount of 240 hours is automatically converted to sick leave effective January 1, if employment status is maintained through at least December 31.
  • Vacation Leave: Full-time SHRA permanent, probationary, and time-limited employees are granted leave based on length of total State service as shown in the table below. (Part-time employees who work half-time or more are granted prorated leave.) **Temporary and part-time (less than half-time) are not granted leave.
